Editorial & Content Producer
reports to Operations Manager and Executive Director

You are a critical thinker and great communicator with a passion for art, design, and technology. The Editorial and Content Producer is responsible for strategic development and production of the voice for Gray Area and its programs. In collaboration with our team, the role sets the editorial schedule while producing copy and visual content to further the mission of the organization. This role will help build and implement our research, marketing, advertising, and communications strategy across our website, social media, proposals and reports.

Duties and responsibilities
  • Marketing / Copywriting
  • Serve as an exemplary writer, consistent with our tone and mission
  • Edit content produced by your teammates, including conceptualizing the projects upfront and copy-editing
  • Maintain editorial calendar for social media, newsletters, website content, exterior digital screen content, and press releases
  • Organize and maintain photography and videography database
  • Produce visual graphics for social media posts with Canva and post scheduler
  • Maintain Wordpress website by updating homepage and ongoing content
  • Analyze and maintain ad budget for social media platforms and google adwords
  • Create performance reports of web traffic and impressions for all online content
  • Manage interns and volunteers interested in supporting marketing projects
  • Develop public relations database: maintain press clippings and press contacts to submit press releases for initiatives
  • Maintain funding proposals database: research grant opportunities, maintain proposal database, and perform grant copywriting
  • Create visual presentations for public lectures and programs
  • Research / Blogging
  • Perform art and technology field research to uncover and document trends
  • Publish video and text interviews with leaders in the field of art and technology
  • Support research initiatives which help inform the development of our programs
  • Produce final reports to illustrate the impact of our programs
  • Be excited to attend Gray Area events and related art events to take photos for social media, blogging and perform public speaking when necessary
Qualifications
  • You write clean, concise, well-polished copy (sample required)
  • Strong attention design, aesthetics, typography and composition
  • A Bachelor’s degree or at least 3 years of marketing and communications experience
  • Experience managing an editorial calendar for a team
  • Proficiency in digital tools: Basic HTML, Wordpress, Google applications, Adobe CC, Airtable, Slack, Keynote, Smarterqueue, Canva or other editorial management tools, (You can pick up new tools easily). Always on the lookout for newer and better tools
  • Adaptability in a fast-paced and dynamic environment
  • Strong critical thinking and problem-solving skills, with a great attention to detail
  • Superior organizational skills with ability to multitask and prioritize assignments
  • Excellent verbal, written, and interpersonal skills
  • Ability to take initiative while working individually and collaboratively
  • Knowledge of, or interest, in the field of art and technology a major plus
  • Experience at a nonprofit organization, art venue, or higher education a major plus
Benefits and Salary
  • Half time contract to start with flexible hours. During full-time period, Gray Area’s team keep regular hours of Monday to Friday 10am - 6pm with some nights and weekends for events.

  • 3 month half-time contract probationary period
  • $25 per hour
  • 20 hours per week

  • $48k - $52k full-time salary dependent on experience
  • $400 company contribution towards health (Kaiser) and dental (Guardian) plans

Finance & Operations Manager
reports to Executive Director

You are a systems thinker who is passionate about numbers, spreadsheets and saving money. The Finance & Operations Manager oversees Gray Area’s administrative activities including human resources and benefits, financial reporting, contracts/purchasing, and office operations. This role is responsible for managing the infrastructure of the organization to create effective systems for projects and people.

Duties and Responsibilities
  • Financial Management
  • Manage and support external bookkeeping and accounting firms with reconciling monthly activity, generating year-end reports, audits and fulfilling tax requirements; hire and retain support staff as needed in the future
  • Oversee budgeting, financial forecasting, and cash flow for administration and programs
  • Review and approve preparation and finalization of quarterly and annual financial reporting materials for Executive Director and Board of Directors
  • Oversee processing of accounts receivable including timely invoicing of event rentals, donations, memberships and all earned revenue; Make Weekly check and cash deposits at the bank
  • Oversee processing of account payable including entering bills, maintaining automatic payments, and check runs
  • Ensure that Accounting requests are resolved and communicated in a timely manner to internal and external parties
  • Assisting in creating annual organizational budget and monitoring cash flow
  • Managing grantor contracts and reimbursement requests
  • Payroll management, including employee benefits and organizational insurance
  • Develop, maintain and monitor all fundraising and accounting systems and procedures capturing all pledges, billings and receipts and for the recording of all revenue transactions, recommend and implement improvements to systems
  • Generating reports to make sure that budget goals are met each quarter
  • Operations
  • Manage Airtable platform including projects to expand functionalities and training staff who do not have experience with the program
  • Manage employee’s weekly and monthly tasks including a weekly operations meeting
  • Maintain legal contracts database and prepare contracts for clients and independent contractors
  • Ensure all internal due diligence completed & contracts conform to policies
  • Maintains secure and organized digital and physical file storage system
  • Facilitate all requirements for employee onboarding and offboarding including HR documents, keys, and training
  • Improve the operational systems, processes and policies in support of organizations mission -- specifically, support better management reporting, information flow and management, business process and organizational planning
Qualifications
  • Ability to work collaboratively with diverse staff and stakeholders to solve problems and innovate creative solutions
  • BA/BS or Associate’s Degree, or a combination of at least 5 years relevant professional experience and education
  • Possesses basic accounting knowledge, including GAAP, accounts payable, accounts receivable, payroll, reporting and analysis, cash flow, compliance and financial controls required
  • Experienced user of Xero Accounting software or similar and additional data entry programs: Airtable, and Google/Excel Spreadsheets
  • Proficiency in digital tools: HTML, Wordpress, Google applications, Adobe CC, Airtable, Slack, Keynote, Smarterqueue, Canva or other editorial management tools, (You can pick up new tools easily). Always on the lookout for newer and better tools
  • Knowledge of tax and other compliance implications of non-profit status a plus
  • Grants management and fundraising skills a huge plus
Benefits and Salary
  • Half time contract with flexible schedule to start. During full-time period, your schedule would be Sunday - Thursday, Sunday hours 7am-4pm, Monday to Thursday 10am-6pm with some nights and weekends for events.
